To optimize a Google Business Profile, fill its fields in order of effect: primary category, additional categories, name, hours, services and description first, then attributes, photos, posts and replies. Each row says what to enter and Google's limit. Google says there is no way to pay for a better rank, so complete, accurate fields are what you control.
This is the profile side of the job. For how Maps decides who ranks first, with relevance, distance, prominence and the benchmark data, read how to rank higher on Google Maps.
Which fields should you fix first?
These six tell Google what you are and when you are open. They are quick, and they apply to every search you appear in.
| Field | What to enter | Rule or limit |
|---|---|---|
| 1. Primary category | What to enterThe most specific category that names what you are. A dental clinic listed as "Clinic" competes with every kind of clinic. Listed as "Dentist", it matches what patients type. | Rule or limitGoogle's guidelines for representing your business. Try the category finder or read the category guide. |
| 2. Additional categories | What to enterOnly the other services you genuinely offer, such as "Dental implants provider" next to "Dentist". | Rule or limitUp to 9 besides the primary. A category you don't offer confuses the match. |
| 3. Business name | What to enterYour real-world name, as it appears on the signboard. No city, no "best", no service words. | Rule or limitAdded keywords break Google's name rules. See the name rules guide. |
| 4. Hours and special hours | What to enterRegular hours, then special hours for every festival and closure before it arrives. | Rule or limitThe holiday hours planner lists the dates. A closed door on Diwali costs you the customer's trust. |
| 5. Services | What to enterOne entry per service, in the words customers search. Write "root canal", not the trade term. | Rule or limitAn empty services list gives Google less to match against. |
| 6. Description | What to enterWhat you do, for whom and where, in plain sentences. | Rule or limit750 characters. No links, prices or promotions. The description guide has examples and the description checker flags problems. |
Which fields make customers trust the profile?
These do less for matching and more for the customer deciding whether to call. Most take an hour once.
| Field | What to enter | Rule or limit |
|---|---|---|
| 7. Attributes | What to enterTick every attribute that is true, such as wheelchair access, Wi-Fi, outdoor seating or women-led. Options differ by category. | Rule or limitCustomers filter by them. See the attributes guide. |
| 8. Photos | What to enterReal photos of the entrance, interior, team and finished work. Add a new one each month rather than fifty stock images once. | Rule or limitJPG or PNG, 10 KB to 5 MB, at least 250x250 pixels, 720x720 recommended (photo specs). |
| 9. Phone, website and links | What to enterOne phone number you answer, a website that matches the profile, and the booking or WhatsApp link customers actually use. | Rule or limitSee the guides to add a booking link and add WhatsApp. |
| 10. Service area | What to enterIf you travel to customers, list the areas you serve and hide the address. | Rule or limitUp to 20 areas. See the service-area guide. |
What should you do every week?
The fields above are one-off. These three keep the profile alive and take about twenty minutes a week.
- Reply to every new review. Google lists responding to reviews among its tips to improve local ranking (source). The reply guide covers what to say.
- Add one real photo. A new photo of the shop, team or work, not a stock image.
- Post when something changes. A new service, a festival offer, altered timings. Posts show customers someone runs the profile. See the posts guide and the post writer.
What should you stop doing?
- Putting keywords or the city in the name. "Sunrise Dental Care Best Dentist Pune" breaks Google's name rules and can get the listing suspended. Few top listings do it: 3% of top-3 dentists in Reach's sample had keywords in the name, against 13% at ranks 4 to 20.
- Filling the description with links, prices or offers. Google doesn't allow them there. Use a post for an offer.
- Creating a second listing for the same place. Duplicates split your reviews and invite suspension. The duplicate listing guide shows how to merge or remove one.
How do you check the work?
- Search your business name on Google and read the panel as a customer would. Is anything wrong, missing or out of date?
- Run the free GMB audit tool. It scores the profile and lists what to fix.
- Check your rank for one search every week from several points around you, not just from your shop. The local rank checker gives a free snapshot and the guide to tracking local rankings explains the method.
What does this look like for one business?
A Pune dental clinic, before and after one hour of work
Sunrise Dental Care in Pune works through the first two tables in an hour. The category and services tell Google which searches the clinic fits. The holiday hours stop wasted trips. The cleaned-up name removes a suspension risk. Replying is the habit that takes ongoing effort, about ten minutes a week.

Questions owners ask
- How long until changes show?
- Google reviews edits before they go live, so a change can take some time to appear. Ranking changes are not instant, and no one can promise them.
- Does posting daily help?
- There is no evidence that daily posts help. Post when you have something real to say, such as an offer, an event or a change to your services.
- Do keywords in the name help?
- Adding keywords to your name is against Google's rules and risks suspension. In Reach's sample, only 3% of top-3 dentists had keywords in the name, against 13% at ranks 4 to 20.
- Can I optimize without verifying?
- Verify first. Google lists verification first in its tips for improving local ranking.
- Is there a free audit?
- Yes. The GMB audit tool scores your profile for free, with no signup.

See which of these fields your profile is missing
Reach lists what is missing from your profile, ranked by what customers notice first, and marks the field to fill. You fill the gaps on the Profile page and save to Google in one go. For the description, a Write with AI button drafts three options for 1 credit.
You can also ask ChatGPT or Claude, connected to Reach, "What is missing from my Google Business Profile?" It reads the same gaps and, after you approve each change, can set the name, additional categories, description, hours, services, attributes and links. Your primary category and address are changed in Google itself. Reach is newer than most profile tools and handles Google only; it doesn't sync other directories.
