Send every patient the same short, optional message after the visit, with your Google review link and a private number for concerns. Copy the English or Hindi version below. Leave out the diagnosis and the doctor’s name, promise nothing in return, and never confirm in a reply that a reviewer is your patient.
What message should a clinic send?
Send it to every patient who has agreed to be contacted, not only to the ones who seemed happy. Google’s review policy bans selectively asking for positive reviews, and its Business Profile guidance bans discounts or other rewards for reviews.
Thank you for visiting [clinic name]. If you would like to share feedback about your visit, you can do it here: [review link]. It is optional and does not affect your care. Reviews are public, so please do not include medical details. For anything private, please call [clinic phone].
Each line has a job. “Optional” and “does not affect your care” remove the pressure a patient can feel towards the person treating them. “Please do not include medical details” keeps diagnoses out of a public page. The private number gives a worried patient somewhere other than the review to go.
Leave out the doctor’s name, the treatment and any request for five stars. Google’s contribution policy also rules out asking for specific review content.
How do I get the link to the patient?
- Generate your link from the exact clinic listing with the review link generator and open it on your own phone first.
- Send the message from the clinic’s own number or app to patients who gave their contact for visit-related messages, or print the link as a QR code with the QR standee tool. Never add patients to a public group.
- Time it after checkout, apart from any result or follow-up message, and stop at the first “no” without a second request from the doctor.
Link types, QR placement and reminders work the same for every business and are covered in ask customers for Google reviews.
How should a clinic reply to a review?
Reply without confirming that the reviewer is a patient, even when they say so themselves, and without repeating anything about their care. A public reply can leak what a review only hinted at.
| Instead of this | Write this | Because |
|---|---|---|
| Instead of this: “Thanks for trusting us with your root canal, Mrs Rao.” | Write this: “Thank you for sharing your feedback.” | Naming the patient and the treatment publishes medical information the reviewer may not want repeated. |
| Instead of this: “Our records show you missed your follow-up on 4 October.” | Write this: “We are sorry your visit fell short. Please call [clinic phone] so we can look into it.” | Appointment history is private. A complaint moves to a call, not a public argument. |
| Instead of this: “Yes, that medicine is safe with your condition.” | Write this: “For medical questions, please book a consultation or call us. We cannot give advice in a public reply.” | A reply is not a consultation, and advice on a public page reaches people you have not examined. |
| Instead of this: “We have no record of you as a patient.” | Write this: “Thank you for writing. Please call [clinic phone] with the visit details so we can look into this.” | Denying a patient confirms who is on your books just as confirming does. If the review looks fake, report it instead. |
A low rating is not a policy violation. If a review breaks a content rule, report that specific issue using the remove a Google review guide, and use the reply guide for tone and timing.
Thank you for telling us. We would like to understand what happened, so please call [clinic phone] and our team will respond personally.
हमें बताने के लिए धन्यवाद। हम समझना चाहते हैं कि क्या हुआ, इसलिए कृपया [क्लिनिक का फ़ोन] पर कॉल करें; हमारी टीम आपसे सीधे बात करेगी।
What should staff never do?
Do not offer a free consultation, discount or waived fee for any review, and do not hand a patient your phone or stand beside them while they type. Do not buy reviews or swap them with other clinics, and do not log which patient reviewed. Checking that the link works and the card is on the desk is enough.
