Thank 5-star reviewers by name and mention one detail. For 4 and 3-star reviews, fix the one thing they flagged. Reply to 1 and 2-star reviews calmly, without arguing or revealing private details, and move the conversation offline. Reply to rating-only reviews too. Keep every reply short, because Google says long replies can overwhelm readers.
The 20 replies below are samples. All names and businesses are made up, so change the details to match your own. For the steps to post a reply, see how to reply to Google reviews.
What should a reply do for each rating?
| Rating | What the reply does |
|---|---|
| 5 stars | Thank them by name, mention one specific detail and invite them back. Two or three sentences. |
| 4 stars | Thank them, acknowledge the one gap and say what you'll do about it. |
| 3 stars | Thank them, answer the mixed point honestly and invite them back or to talk. |
| 2 stars | Apologise for the experience, name the problem, say what changed and give an offline contact. |
| 1 star | Do the same as for 2 stars, and check whether they were a customer. If the review is fake or breaks policy, report it, but still reply politely. |
| Rating only | Say a short thank-you and invite them to share details. |

How do I reply to a review with only a star rating?
Reply to these too, and keep the reply short. There's no text to quote, so mention the visit and invite them to share details. That makes the reply read like a person wrote it. Google notifies the reviewer when you reply.
Thank you for the five stars! We're glad you enjoyed your visit. – Kopi Senja

Replies in Hindi and Bahasa Indonesia
Reply in the language the review is written in. A Hindi or Bahasa review answered in English reads like a template.
Terima kasih, Dimas! Senang kopi susunya cocok. Sampai jumpa lagi di Kopi Senja. – Aiman

What should a reply never include?
Your reply is public and appears under your business name. Leave out:
- Health, booking, purchase or personal details that the reviewer didn't share. A clinic shouldn't even confirm that the person visited. "We're sorry your root canal hurt" tells everyone that the reviewer is a patient.
- Offers or discounts in exchange for changing or removing a review. Google prohibits incentives for reviews.
- The same copied reply on every review.
- Arguments, sarcasm or accusations.
- Keywords or links stuffed into the reply.
The principles for good replies go into more detail.
Worked example: one review, three replies
This is a sample. A Delhi cafe gets a 2-star review in Hinglish:
"Coffee accha tha but 25 min lag gaye order mein, staff ne ignore kiya"
We were very busy that day. Weekends are always crowded, so please understand.
Sorry for the inconvenience. We will try to improve.
Sorry, aapko 25 minute wait karna pada aur staff ne dhyan nahi diya. Ab weekends pe hum second counter kholte hain. Please manager se baat kariye: [number]. – Kunal
The good reply uses the reviewer's own Hinglish and names the exact problem, the 25-minute wait. It says what changed and gives a direct number. The bad reply blames the rush, and the OK reply could be pasted under any review.
FAQ
- Should I reply to every Google review?
- Yes, including reviews with only a star rating. Google says replies show customers that you're responsive.
- How fast should I reply?
- Replying the same working day is a good habit. A negative review with no reply looks ignored.
- Can I offer a discount to someone who left a bad review?
- You can fix the problem. Never offer anything in exchange for changing or removing the review. Google prohibits it.
- Should a clinic reply to reviews at all?
- Yes. Never confirm that the person was a patient, and never discuss treatment.
- What language should I reply in?
- Use the language the review is written in.
- Can I edit a reply?
- Yes. Open Read reviews and edit your reply there.
When reviews come in every day
With Reach
If new reviews come in every day, writing each reply takes time. The Reviews page in Reach by Locus lists your reviews, and you can filter by replied, unreplied and sentiment. Select Generate Suggested Response to get two draft replies in the review's language. Reach writes them from the review, your business details and up to five of your past replies. Nothing posts until you confirm it, and you can update a reply after it's posted. Each draft uses credits (2 per draft via MCP), and posting is free.
